* Receiving orders from foreign customers:
- Preparing document to introduce products to foreign customers.
- Making proforma Invoice once customers finalize their order.
- Following up customer’s payment progress, and make plan for production.
* Arrange the production plan:
- Planning the production after signing the contract.
- Coordinate with production dept. & purchasing dept.to monitor the preparation for products.
- Calculate, schedule production time to meet the lead time of thecontract.
- Update the production time to inform the customers, ensure delivery of goods within the contract terms.
* Carrying out the export procedures:
- Undertaking export procedures right after the customer TT remaining payment, with following steps:
+ Making declaration, conduct customs clearance.
+ Prepare shipping documents: Bill, commercial invoice, packing list, shipping notice, certificate of origin.
+ Supervise loading the goods into containers, ensuring good condition of goods before delivery toshipping lines.
+ Buying cargo insurance for the shipment.
+ Sending the original shipping documents to customers.
- The L/C payment method:
+ Checking and amending draft L/C (important articles are date, validity term, L/C value, requireddocuments...).
+ Schedule the customs declaration, delivery, present the documents to the bank within the L/C time.
+ Prepare the B/L, commercial invoice, packing list and other L/C required documents.
+ Carrying out customs clearance for shipment.
+ Sending information of the shipment to customers in order to prepare insurance (container number & seal, volume, net & gross weight...).
+ Collecting original documents and present to the bank.
+ Supervising and editing documents if errors are made to avoid invalid documents.
* After-sales service:
- Receiving customer’s feedback about the problem occurring or warranty request.
- Cooperate with technical dept. to find solutions, then feedback and support customers to overcome theproblems.
* Interpretation, welcome the foreign guests:
- In charge of interpreting for the engineers, staffs when they contact and work with foreign customers.

- Building and develop new product:
+ Working with related departments (R&D, QC, TQM, designers...) to build up the new product line.
+ Develop the quality standards, research new packaging/ design to increase the competitiveness for thenew product.
+ Study HS code to build up importing price and cost price of product before importing.
+ Create the business plan of new product for approval before placing the order.
- Checking the inventory, planning the orders to supply the goods, meet the sale needs in time.
- Searching and develop the new foreign suppliers through trade fairs, exhibitions, internet and existingrelationships.
- Being responsible for the quality of product and the lead time that foreign suppliers processes theorder.
- Creating the sales contract with the most favorable terms for the company. Negotiating with theSupplier about the quality of product, MOQ, unit price, best term of delivery (reduce the MOQ as small aspossible but must ensure lowest price, shortest lead time, especially not lowering the quality of product inexchange for the low price).
- Coordinating with the forwarding company to book appropriate schedule for the shipment, check andconfirm booking, local charges at shipper’ side and consignee’s side, check the trucking costs, clearancefor shipment. Guide the forwarder to handle incidents occurring during the shipment (if any), ex: latedelivery, missed shipment, stolen cases...
- Checking/ take responsibility for the content of the shipping documents before issuing the original (commercial invoice, packing list, bill, C/O form E/ AK/ form D/ form IA...).
- Excellent in C/O form E8. Checking the custom declaration sheets, calculate tax, pay tax and supervise customs clearanceprocess of the subordinates, support to solve problems if any.
- Contact the trucking, arrange the storage space to take goods from the port to warehouse, superviseunloading process, checking the quantity and make a record if any incidents occur (loss, damage, breakdown...).
- Contact the QC dept. to check the quality of the shipment base on the quality standards developedand signed with the foreign supplier.
- Solving the quality problems that arise if the shipment fail the QC checking. Requiring the foreignSupplier to investigate the cause and propose their compensation plan. Asking the Supplier prevent theincident from occurring again.
- Regularly work with foreign supplier to understand the situation of market prices, update prices if anychanges, persuade the supplier to reduce or keep prices unchanged, avoid sudden price increasing without prior notice that will have bad effect on the future orders.
- Occasionally receive the new tasks from manager.
- Undertaking samples sending/ receipt to/ from foreign customer via courier service (DHL, UPS, Fedex, TNT...), support custom declaration for these sampling shipment.
- Continuously updating newest relevant legal documents of tariffs and import/ export field.
- Having strong knowledge of foreign trade (commercial contract, customs and usage of international trade of many countries and regions like: China, Korea, India, Europe, United States, ASEAN...), details as below:
+ International customs in foreign trade (Incoterms® 2010).
+ Sales contract terms & provisions (quality, delivery, payment, claims, arbitration, force majeure...).
+ Shipping documents (B/L, commercial invoice, packing list, certificate of origin form E, form D, form AK, form JV, form IA..., other quality and safety certificates).
+ International payment methods: L/C, TTR, DAP..., UCP600, ISBP...
- Having strong knowledge of sea freight & cargo, forwarding and logistics services:
+ Specification and standard of container 20’, 40’ & loading mode: FCL/ FCL, LCL/ LCL.
+ Knowing the feature and season of many common shipping voyages from China, Asean, Europe, India...
+ Control common local charge & fee of many shipping lines, forwarder companies.
+ Proficient in other quality certificates of some special goods (Children toys, cosmetics).
- Proficient in marine insurance:
+ Risks covered and risks not covered (excluded risks); institute cargo clauses (ICC) A, B, C.
+ Negotiating with insurance company to gain more benefit terms for the company.
+ Making the insurance list for each shipment or all shipment in a month.
+ Request the coverage compensation if any loss occurs.
- Proficient in working with email (by English), and via many common chatting apps (skype, qq, wechat, lines, viber...).
- Having ability to read and understand English technical document. Skilfully write reports in English.
- Fluently communicate with foreigners.
- Proficient in some major, especially: Stationery, children toys, cosmetics.
- Having strong knowledge of custom procedure in Cat Lai Port and Hai Phong ports.
- Having good communication and negotiation skills.
