* Since May 2016 - present: Takashimaya Department Store - Deputy general affairs manager.

- Including the scope of managing distribution center (goods flow in/out, import, price tag, stock-taking, inventory controlling, etc.)

* Oct 2014 - Jun 2015: Casino Group - BigC Vietnam - Hypermarket general admin manager - General admin management.

- Building-involvement payment follow-ups (leasing, electric consumption, running water, cleaning, security, parking fees, internet, phone, trees) and frequent review to avoid any fraud/ leaking.

- In charge of meeting room management (booking/cancel, water bottles, projector, remote, cable, amplifier, polycom, catering supply, other facilities).

- Reinforce cleaning team for good service in shared places, directors’ offices, WC, stairs, elevators, corridor glass, wall, pantry, recept’s counter.

- Compose standard procedure/form/request: Staff, asset, fire-fighting management, F&B, stationery, stamp, letter, flight/hotel booking...

- Order/checking marquette/delivery stationery, stamp, letter-head, name-card.

- Elevator, fire-fighting equipment maintenance, pesticide spray monthly.

- Manage Lavie water supply/delivery/allocation of expenses/payment to depts in HO, including non-systematic fixing requests, quarterly maintenance (extra BigC’s 2 warehouses, stores counted).

- Process the contract signing with sanitary service, building security service, shared building’s security team, garbage dump, running water with landlord/building management board.

- Monitor parking registration data to double check payment (car/ motorbike/ bike).

- Canteen management.

- Reinforce the regulation compliance.

- Allocate the cleaning materials/ tools weekly and manage the logical allocation (dustbin, hand-dryer).

- Support other Depts in events (PR, Marketing, HR...): Year-end parties, road-shows.

- Supplier evaluation and replacement.

- Response the requests/ complaints of depts by email/ verbally.

- Shutte bus/ navette control/ management: Routine, passengers.

- Control reservation and expenses of hotels and air-lines for staff & manager levels.

- Handle benefit conflicts of shared services among tenants, building management vs residents.

- Manage decoration in events (Christmas, Lunar new year).

* Maintenance service management:

- Establish and remain the tenant site in the good condition (facilities, devices, fire extinguishers/ hose, auto alarm, exit ways, printer, signage, glass/ wall/ ceiling surroundings).

- Continue defect testing, discovery and solution, in terms of fire/ theft alarm o Modify the air-con temperature, ventilation (HVAC).

- Solve fixing requests (broken doors, light, electric system, internet, phone, water taps...).

* IT service management:

- Printer equipped proposal, lay-out, set up, fixing o fax device request.

- Booking online application management.

- Projector/ screen/ visio set up and maintenance o password wifi control.

* Driver:

- Arrange drivers logically serving BOD (assignments, business trips, sites’ visits).

- Control fuel consumption, maintenance, reparation, accessories replacement, new registration, toll fees, prepaid process.

* Project management:

- Renovation proposal, expenses allocation and payment.

- Office label names.

- Notice/ signage lay-out set up.

* FO management:

- Manage the lobby area to be tidy & clean all the time.

- Handle conflicts/ arguments in terms of customers, partners, suppliers, team.

- Remind the service-mind and professional attitude/ appearance of receptionists towards guests.

- Raise the awareness on prohibition of non-smoking in HO and basement.

* Purchasing management:

- Order/ delivery/ inventory water bottles, stationery for whole HO’s Depts o On demand serving (decoration/ call center record/ plant/ vending machines/ catering/transport): Follow 3 supplier comparison, proposal, contract, invoice and payment clearance process.

- Control goods transport from stores to HO.

* External relationships:

- Governmental authorities, fire-fighting dept.

- Building management team.

- Supplier/ service providers/ partners.

- Landlord.

- Local police/ market controller/ market police.

* HR support:

- Manage HSE activities (Risk assessment, consult employees, provide training & info, provide right workplace facilities: Eelfare/ health/ safety, first aid, accidents & ill health, display HS poster/free leaflet & pocket card, get insurance).

- Plan & execute annual healthcare check-up.

- Plan & process the soft-skill trainings (eg. Time management/ English).

- Participate in HR’s recruitment events/ job fairs/ introduction.

- Maintain company’s reputable brand publicity in e-channels (post, forum).

- Organize additional HR activities (birthday, soccer match, free coupon, team-building).

- Handle the industrial relationship regulations and lawsuits.

- Set-up staffs’ time keeping devices.

- Solve legal lawsuits (employees’ assaults, sues).

- Manage HR cycle (interview, probation, labor contract, appraisal, annual leave, termination).

- Process survey related to salary & labor market.

- Contribute in KRA/KPIs establishment & HR policies.

- Responsible for data accuracy in HRIS.

- Re-enforce relationships with HR agencies and governmental departments related.

- Consult modified laws related to HR.

- Manage license registration/ modification for company & work permits for foreigners/ expats...

- Warehouses: managing storekeepers, assistants, laborers, transporters ceased loss and fraudulence (remote controls & ACs); purchase warehouse insurance & damages claim external relationships: Playing role as the hub among parties including Panasonic, authorized dealers/ distributers (eg. Thien Nam Hoa, Tam Hoan Chau, Nam Sapa, Hong Loi Nam, Phuc Ngoc Anh, Pico, Tran The...) for all issues provoked (PO, loss, delivery...).
